Displaying the list of messages
SELECT ALL Selects all the messages currently visible on the screen.
DESELECT ALL Removes the selection made by SELECT ALL.
MOVE TO FOLDER Moves a message to a different folder.
MARK Marks a message.
REMOVE MARK Removes the mark from a message.
DELETE MESSAGE Deletes the message or messages you have selected.
CREATE FOLDER Creates a folder.
CREATE SUBFOLDER Creates a subfolder inside a folder. You can do this for a folder you have created.
RENAME FOLDER Renames a folder. You can do this for a folder you have created.
DELETE FOLDER Deletes a folder. You can do this for a folder you have created.
EMPTY WASTEBASKET Deletes the messages in the Wastebasket.
OPEN MAILBOX Opens a mailbox that belongs to some other local user, provided that
the mailbox owner has granted you access rights to it.
PERMISSIONS Define rights to use your mailbox.
 Inbox (New) Displays the list of new messages in the inbox.
  Inbox Displays the list of received messages in the inbox.
The message status is as follows:
A new message. The message is unread.
A message that has been replied to. You have already sent a reply to this message.
A message that has been read. You have already read this message.
A message that has been replaced. The sender replaced this message with another after you read it.
  Outbox Displays the list of sent messages in the outbox.
The message status is as follows:
A sent message. The sending of the message has been completed.
A message that has been replied to. The recipient has already sent a reply.
A message that has been read. The recipient has already read the message.
An error. There has been a delivery error.
An unread message. The message is still unopened and has been deleted, replaced or autoforwarded.
A pending message. A message that has been sent but not yet been delivered to the mailbox of the recipient.
A message that has been delivered. The message has been delivered to the mailbox of the recipient but the recipient has not read it yet.
Draft message. A message that was saved as a draft in the Outbox folder and was not sent yet.
Note: When the recipient is not a Teamware Mail user, sometimes the status of the message for that user is not displayed correctly.
  Folders marked as personal are not visible to delegate users.
   Displays the list of messages in a folder that the user has created.
Wastebasket Displays the list of messages in the Wastebasket.
You can sort the reply requested, subject, sender/recipients, date, and size columns in ascending or descending order.
  Messages that have been marked.
  Messages for which the following have been selected in Edit Properties when creating the message:(Importance/Priority) [High], (Sensitivity) [Personal], [Private] or [Company Confidential].
  Reply requested.
  A message containing attachment(s).
Size Displays the total size of a message.
 Opens the New message window.
 Refreshes the window.
 Turns autorefresh on. Refreshes the window automatically, when the Inbox(New) or the Inbox is open.
 Turns autorefresh off.
     Displayed when there are more messages than can be listed on one page. Click the icons or the page numbers to move to the page you want to view.


Searching messages
Search from the current folder
Depending on the configuration of your organization's Teamware Office system, one of the following two methods to find messages is available: Search from the current folder or Search from the whole mailbox. Note: Search from the whole mailbox is available only in those systems where Teamware Office Search Server is installed.
 Searches for messages from the currently open folder only. The mail list is filtered to show only those messages that match the criteria you gave.
Search from the entire mailbox
 Activates a Quick search. The Quick search field and the Search command icon allow you to search messages from the entire mailbox. Search criteria may match to messages in any of the folders in your mailbox. The search results are shown in a separate browser window. To do a quick search from all folders:
  • Select the search method (Free text (default), Subject, Sender, Recipient) from the list box. Note: The Free text method searches from the message text and any attachments a message might have.
  • Type in the search criteria in the field.
  • Click to initate the search.
 Opens a search criteria dialog where you can define more specific criteria for searching messages from the entire mailbox.
Refer to the Making searches page for more information on using the Quick search and the detailed Search criteria dialog and the Defining search criteria page for more information on the different types of search criteria that you can specifiy.
Reading a message
If you want an alternative recipient to receive a message, specify that recipient in [Alternate recipient] of the [Personal Profile] service. The sent message will be delivered automatically to that recipient.
 Subject Click a subject in the message list to display a description of the message.
  An object is inserted in the message text of the message.
Click this to display the original message text.
If you reply, send again, reply to all or forward for a message in which an object is inserted, this display changes to "// Missing information! //".
KEEP MESSAGE OPEN Leaves the message open. When you open another message, it will open in to a new window.
 Adds a name to the Personal Address Book.
REPLY Replies to a received message.
SEND AGAIN Resends a message that has already been sent.
REPLY TO ALL Sends a reply to all the recipients of a message.
FORWARD Forwards a message to a different recipient.
REPLACE Replaces a sent, but unread message.
EDIT Edits/sends a draft message.
COPY Sends copy of a message.
The same entries are added as recipients, if you copy a message in the outbox.
SAVE IN LIBRARY Save a mail message as a library document.
POST IN FORUM Post a mail message as a forum message.
Note: In the environment where Drag&Drop functionality is not available, attachment files of a message can not be added.
Mail messages that forwarded as attachment can not be added.
PRINT Opens a message in a new browser window for printing.
MARK Marks a message.
REMOVE MARK Removes the mark from a message.
MOVE TO FOLDER Moves a message to a different folder.
PROPERTIES Displays the properties of a message.
DELETE Deletes a message.
DOWNLOAD Downloads a message in .eml format.
File name is in the following format:
YYYYMMDD-HHMM subject(first 64 bytes)
Note that some symbols in the subject are converted into _ (underscore).
Note: If the internet address does not exist, Reply-To header(From, To, CC) of a downloaded message is "Unknown_user@". The Reply-To header of a message which is sent inside Teamware Office is also "Unknown_user@".
CLOSE Closes the window.

The list of attachment files that have been attached with a message is displayed.
  Displays or saves an attachment file.
You can sort the attachment file name, type, size or date in ascending or descending order.


Composing a message
  Creates a new message and sends it. You can create the following settings:
  • Message recipients (TO): Note: You can specify a maximum of 100 TO recipients.
  • Other recipients (CC): Note: You can specify a maximum of 100 CC recipients.
  • Subject
  • Message text
  • Attachments
  • Reply requested for this message
  • Blind copy recipients (BCC): You can specify a maximum of 30 BCC recipients.
  • Importance
  • Priority
  • Sensitivity
  • Reply recipients: You can specify a maximum of 30 Reply recipients.
  • Date on which the message is sent
If you want to insert a signature automatically, specify a signature in [Edit signature] of the [Personal Profile] service.
Note: The limit for recipients for functions such as Reply, Reply to All and Send again does not include the recipient originally specified.
